Overview

Colas Rail is one of Europe’s leading suppliers of railway infrastructure services, constructing and renewing all forms of railways across Europe and the UK. Colas Rail formed a collaboration with Skanska, Mott MacDonald, AECOM and Network Rail to deliver circa £400million of improvements for a bigger, better London Waterloo, the UK’s busiest railway station.

Understanding requirements

Colas Rail’s work on the Wessex Capacity Alliance project for the extension of Waterloo station required 200 of their engineers to work on the track across 3 separate shift patterns for 5 weeks. The workers would require suitable accommodation for the duration of the project, which would keep their £1.5m budget under tight control.

Colas Rail contracted Inntel to support them with the accommodation management, cost control and centralised payment required for their teams.

Inntel’s solution

Inntel’s Supplier Partnership team carried out extensive research and negotiations in the immediate vicinity of London Waterloo. Their objective was to source a hotel who would engage and support variables in shift patterns and food requirements for over 200 engineers. Inntel held meetings with potential hotels, the client Project Manager and Team Organisers to ensure the requirements were briefed and understood by the hotel from management and service angle. A hotel was selected and discounted rates, along with beneficial terms and conditions were agreed.

Adding value

The Inntel Project Management Consultant managed the entire group booking and its frequently changing requirements leading up, during and post-project. Inntel’s Consultant worked with the Colas Rail Wessex Project Manager and other Team Organisers to ensure duty of care was adhered to in terms of sleep patterns, adequate food was provided and travel policy was followed. Once the project had closed, Inntel met with the hotel and the client Project Managers to hold a de-brief on the overall hotel service and to settle any invoicing queries. Inntel reconciled all expenditure on the project and agreed and arranged credit to Colas Rail of over £40,000 in negotiations and billing disputes.

Satisfied customers

Inntel negotiated £87,000 off first quoted rates (a 6% saving) as well as £14,000 added value (1%). Inntel managed the booking, at all times ensuring the wellbeing of guests, managed Alstom’s travel policy and held open communications with key people across the project and hotel.

Post project Inntel negotiated £40,000 credit back following close reconciliation of invoices, feedback and non-arrival cost negotiations (an additional 3% savings).
