Here, she shares the story behind its creation and why it matters for the future of booking meetings.
It has long been a pain point in the hospitality industry that you can book a hotel room online in just a few clicks, yet you can’t book a meeting room with the same ease. Until recently, booking a simple meeting room meant emails, calls, and waiting for confirmation. Why should booking a small meeting space, often less than the cost of an overnight stay, be so much harder than a hotel room?
As a travel and meetings management company, we know that for years the industry has been considering the best way forward to solve this. Traditionally, the process for booking meeting rooms requires a consultant to confirm the details before the booking could be made — even for simple, low-cost room hire.
Meanwhile, for years, our clients have been able to log in to LOGiC Travel to book accommodation themselves in just a few clicks, whether online or via the app. When they asked why meeting spaces couldn’t be booked in real time in the same way, we understood their frustration. So, we decided to act.
That’s how Instant Book for LOGiC Meetings was born.
Unlike many other TMCs, we own our own online booking tool. LOGiC was created and is continually updated by our talented in-house software developers. This means we can tailor it to each client’s needs, add bespoke functionality, and create industry-leading innovations — like Instant Book for LOGiC Meetings.
Of course, technology is only as good as the content it holds. We collaborated with our longstanding partner, Venue Directory, to bring Instant Book to life. Through an API integration, LOGiC now connects to Venue Directory’s extensive nationwide inventory of meeting rooms, from leading hotel brands to independent venues.
This means bookers can select from a huge choice of meeting rooms nationwide and get confirmation right away. All in real time, 24 hours a day, seven days a week. And without the need for human intervention – though our meetings and events consultants remain available for support whenever needed, ensuring the personal service our clients expect.
To book a meeting room, LOGiC Meetings users simply log in, search venues in their chosen location, check availability and rates, select room layouts and refreshments, add AV or other tech, and click to book. That’s it.
Instant Book cuts out the back-and-forth of traditional venue sourcing, making it quicker and easier to find the perfect venue. No waiting for emails or call backs. No more last-minute panic about forgetting to book that important meeting space at short notice.
For clients, this means time saved, smoother planning, and more agility when sourcing meeting rooms at short notice. And, as venue coverage continues to expand, adoption will only grow. In fact, the biggest reason for an enquiry being handled offline is if the venue is not Instant Book enabled.
