The incentive trip that didn’t go to plan – but still delivered

When our client, a market-leading supplier to the global construction industry, asked us to design a spectacular, sun-drenched getaway for its annual ‘Go Big’ incentive trip, expectations were high. It had to be aspirational, exclusive and memorable – but also casual, fun and cost effective.

We delivered on every detail. Each moment was meticulously planned. But there was one element even we couldn’t control: the weather. Here’s what happened when a perfect storm meant that almost nothing went to plan – and how Inntel still made it a resounding success.

The brief

A two-night European escape in mid-May for 25 delegates, flying from Manchester and London, with minimal ground travel and maximum impact. The location needed to offer coastal charm and resort-style comfort with a sense of exclusivity.

Having already delivered high-impact experiences for this client in Milan and Ibiza, Inntel was entrusted once again to raise the bar. After reviewing shortlisted destinations – Marbella, the Algarve, and Malta – the client was instantly drawn to Malta’s charm, year-round warm microclimate, and crystal-clear waters.

We built a programme that maximised time on the ground with early outbound flights and unforgettable activities planned from the moment the attendees landed.

The Planned Programme

Day 1: Transfer from the airport via the marina on a traditional Maltese boat to the hotel, followed by a formal awards dinner in the courtyard at MUZA.

Day 2: A full-day traditional Gulet boat excursion, with snorkelling in the turquoise waters of Comino Island’s Blue Lagoon. Plus an evening guided tour of Mdina including an informal dinner.

Day 3: Leisure time before return flights.

The Challenge

Just 24 hours before arrival, a severe storm was forecast – bringing torrential rain and high winds that jeopardised the planned boat trips and outdoor experiences.

Our Event Manager was already on site and swiftly activated a contingency plan. Liaising with boat captains, local partners and the client, we assessed risks, explored alternatives, and collaboratively agreed to pivot the entire programme.

The Plan vs. The Reality

The sun was sparkling on the marina during the site visit for this Malta incentive trip – a picture-perfect day as you can see in the video below. Cut to the weather we experienced while delivering the event. No matter how much planning goes in, Mother Nature always keeps us on our toes!

The Revised Experience

Being such a small island, it wasn’t easy to secure a plan B last-minute. But, true to our word, we love a challenge – and the Inntel team stayed calm in the face of a storm.

Guests were met with a comfortable coach transfer from the airport to the marina for a relaxed lunch, before heading to the hotel.

The awards dinner remained at MUZA, but we secured a beautiful indoor setting within the venue to preserve the atmosphere while keeping guests comfortable.

With boat trips still off the table on day two, we curated a brewery tour and beer tasting session at The Brewhouse, followed by a hands-on ravioli making experience in a picturesque village off the tourist trail. Both activities were a huge hit with the group and a fantastic bonding experience.

In the evening, attendees enjoyed a walking tour of Mdina and relaxed dinner at Bacchus, a local gem known for its authentic Mediterranean cuisine.

By day three, the sun returned, and guests were able to choose from a traditional boat excursion, shopping or poolside downtime.

 

The Results

Despite the storm, the incentive trip was a resounding success. Attendees rated their experience an average of 4.9 out of 5 stars, praising the memorable experiences – even though most weren’t part of the original plan.
