What we’re looking for:

 

Inntel’s Meetings, Events and Groups (ME&G) team are looking for a Support Consultant to join them. The aim of this role is to provide administrative support, quality checking and reporting for the team. If you have proven experience in providing a high level of attention to detail, a methodical approach to work and the ability to work independently using your own initiative, we want to hear from you!

You will be part of a strong and enthusiastic team who create a supportive and positive working environment. Experience in the events and travel industry is preferred but not essential.

Main duties and responsibilities

 

  • Providing administrative support for incoming emails into a central inbox, adding the enquiry to booking system and distribute to the relevant Client Team.    
  • Checking any online bookings and distribute to the relevant Client Team.   
  • Answering incoming calls to the ME&G switchboard then transferring to relevant consultant or team.     
  • Assisting with managing the Venue Update email inbox and venue calls looking for updates on live proposals.            
  • Quality checking the confirmations against SOP's and contract sheet to see if the client has any specific requirements for confirmation process.         
  • Contacting the venue to confirm bookings details and processing confirmation paperwork to send to both client and venue on behalf of the consultant.            
  • Releasing any other venues holding after confirmation with relevant reasons for reporting.
  • Following the set checklist for each confirmation and ask for additional information from the consultant if required.          
  • Providing the final check for agreed commission on each booking and ensure commission information is added to all the required fields.         
  • Following the payment processes in place to support payment functions as required.       
  • Processing amendment paperwork and sending to both client and venue on behalf of consultants.          
  • Processing of cancellation paperwork and sending to both client and venue on behalf of consultants.      
  • Completing the second check of contracts for those clients which Inntel signs contracts on behalf of (with reference to the ‘signing contracts checklist’). Making sure history of booking is kept up to date with history notes.  
  • Scanning the signed contract, send to venues and file.         
  • Liaising with the venue regarding client requirements and arranging payment for the booking.     
  • Liaising with the client to receive the financial information required to confirm the booking.
